Accommodation reservation

Degree (long-term) students apply for dormitory accommodation themselves via the ISKAM webpage (step by step guide is here). Information below is valid for exchange students (Erasmus, Erasmus+, CEEPUS and other exchange programs).

Office for Mobility is providing us with information about incoming students. Please, talk to your UP mobility coordinator about the accommodation reservation. If you have any special requirements, specify that to the coordinator as the information is then passed to us. After we receive an official application from the Office for Mobility, we book an accommodation for you and send you a confirmation via email. Considering your field of study and other needs, we assign the dormitory best suited for you. Please know that even if you choose a preferred dormitory/campus in your application, it is not automatically assigned to you and may change due to capacity reasons.

Accommodation Contract and security deposit

It’s necessary to pay a security deposit in the amount of thirty times the daily dormitory fee (depending on the type of accommodation chosen) within 14 days of making the reservation (or in case of exchange students receiving a reservation confirmation). Available payment methods are listed below or in our guide – step 10. The deposit will be given back to you at the time of your leaving, on condition there’s no damage to the room and you check-out properly.

For stays longer than 30 days, an Accommodation Contract has to be signed within 14 days of making a room reservation (or in case of exchange students receiving a reservation confirmation). The Contract can be signed online in the ISKAM webpage (see a guide – step 11).

If the security deposit is not paid and the contract is not signed within 14 days of making the reservation (or in case of exchange students receiving a reservation confirmation), the reservation will be cancelled.

Arrival and check in

Check-in is possible in the accommodation office during the office hours. In exceptional cases, it’s possible to arrive after office hours. In such case, send us an email to accommodation@upol.cz with the date and approximate time of your arrival. We will then prepare your room keys at the dormitory reception desk.

Check out

Before you plan to leave, check if your date of departure (month) agrees with the date (month) in your contract. If not, visit your accommodation office to discuss possible change. Remember that any change in the contract must be in correspondence with rules given by the contract. If you need to leave earlier, let your dormitory officer or manager know at least one CALENDAR MONTH in advance. For instance, if you wish to leave on the 1st of December, we need to know this information in October the latest - November is too late and you would be obliged to pay the rent for December. In this case, you always pay until the end of the month.

If the dates agree, visit your accommodation office one week in advance and arrange your check out with your dormitory officer or manager.

On the day of departure:

1) Go to the linen storage (bedclothes change facility) with borrowed bedclothes (duvet covers, pillowcases, bed sheets and coverlets), power extension cords, switches and cables to return them. You will receive an inventory card proving you returned all borrowed stuff.

2) Our housekeeper has to check your room. Note that the room has to be empty, clean with all furniture in original position! Please, sweep the floor and dust your room – under the bed and on the furniture. Defrost your fridge, dry it up and turn it off if you are the last person in the flat. Take out the trash. The common areas (kitchen, toilet and bathroom) should be clean as well – inform your flat mates of the checking day. You are jointly responsible for the common areas. Any belongings left in the room will be thrown away, we will not store them after you check out.

3) Go to the accommodation office. Take your ISIC/student card, inventory card and the keys with you. Your dormitory officer will check everything and if there is no problem, you can pick up your deposit at the nearest reception.

NOTICE: If you do not follow this guide, you cannot check out properly and your deposit does not have to be returned in full. Check out is possible during the office hours according to your accommodation office. If you need to leave after hours or on the weekend, talk to your dormitory officer first!

Office hours for respective offices are available in contacts (look for your dormitory officer).

Rent

Rent payment is always due by the 15th day of the current month, i. e. rent for October has to be paid by the 15th of October. It is very important to pay in time. In case of delayed payment, you will be charged a penalty of CZK 300. If you are more than one month behind with rent payment, we are entitled to withdraw from the accommodation contract. It is your responsibility to check if the rent is paid in due time. Of course, you can also pay the rent in advance.

Payments methods

You can pay online via GP Webpay – please see a short tutorial here. It is also possible to use bank transfer, an automatic monthly payment (encashment) or a lump payment – see bank connection information below. At the reception desk, we accept payment in cash or by card. Please note that we charge a processing fee of CZK 50 for payment in cash (except on the day of the real start of accommodation). We accept MasterCard, MasterCard Electronic, Maestro, Visa, Visa Electron, American Express at the Neředín II Dormitory, Bedřich Václavek Dormitory and Generál Svoboda Dormitory.
